Print File Troubleshooting Guide
Many printing delays are caused by file issues that are easy to fix before the job reaches production. This guide covers common symptoms and the information a designer or print buyer should check.
Images Look Blurry or Pixelated
Check the effective resolution at the final printed size. Enlarging a small web image does not create real detail. Replace the source image with a higher-resolution original where possible rather than relying on artificial sharpening.
White Edges Appear at the Trim
The background artwork may stop at the trim instead of extending into bleed. Extend images/backgrounds beyond the finished size using the bleed amount required for the product. Do not simply enlarge the whole design if that pushes important content too close to the trim.
Fonts Changed or Text Reflowed
Fonts may be missing, substituted or not embedded correctly. Reopen the source file, confirm the intended fonts and export using a workflow that embeds fonts appropriately, or provide outlined text where suitable and where future text editing is no longer required.
Colours Look Different on Screen and in Print
Monitors emit light, while print uses physical inks/toners and paper. RGB screen colour and CMYK print output cannot always match exactly. Calibrated workflows, correct profiles and an appropriate proof are important when colour is critical.
PDF Has the Wrong Page Size
Check the PDF page dimensions rather than assuming the design application’s document size exported correctly. A4, A5, US Letter and custom sizes are different. Also confirm whether bleed is included outside the trim box.
Book Pages Were Supplied as Reader Spreads
Many book workflows require single pages in reading order, with imposition handled in prepress. Do not manually arrange printer spreads unless the printer specifically requests them.
Pages or Versions Are Missing
For books and multi-language projects, compare the exported files against a signed title/version matrix. Include the exact quantity for each version and use stable filenames that make version control obvious.
Thin Lines or Small Text Reproduce Poorly
Very fine rules, tiny reversed text and complex multi-colour small type can be sensitive to the chosen print process and substrate. Ask for prepress guidance if the design depends on fine details.
QR Code or Barcode Will Not Scan
Check size, contrast, quiet zone, distortion and final print resolution. Test the exported PDF at intended size and, for critical codes, test a physical proof/sample before a large production run.
Transparent Effects or Overprints Behave Unexpectedly
Complex transparency, spot colours and overprint settings can produce unexpected output if the PDF is built incorrectly. Where the design uses specialist effects, state them in the RFQ and let prepress inspect the final PDF rather than assuming screen appearance is sufficient.
The Printer Says the File Is Not Print-Ready
Ask for the exact preflight issue: size, bleed, resolution, fonts, page count, colour, dieline, transparency, missing links, corrupt PDF or another problem. Fix the source file, export a new version and clearly replace the old file rather than sending several ambiguous variants.
