A complete specification makes supplier comparisons more useful because every printer is pricing the same quantity, size, stock, colour, binding, finishing, deadline and delivery requirement.
This tool structures the information you enter; it does not calculate or promise a price, production method or turnaround. Final production is confirmed in writing after specification and artwork review.
What a Printing RFQ Should Include
- Product and exact quantity: identify every version or title separately where quantities differ.
- Finished size: A4, A5, A3, custom dimensions or the final folded/trimmed size.
- Pages or construction: page count for publications; parts, panels or dimensions for forms and packaging.
- Colour: black only, full colour, mixed colour, spot colours or special inks where applicable.
- Paper or material: stock type and GSM/board/material requirement where known.
- Binding and finishing: saddle stitch, perfect/PUR, wiro/spiral, casebound, lamination, foil, debossing, folding, drilling, numbering or other finishing.
- Artwork status: print-ready, artwork still being prepared, or design/prepress assistance required.
- Required receiving date: use the date the finished goods must arrive, not only the desired print-completion date.
- Delivery allocation: one address or quantities split by branch, school, province, language, title or district.
Use the Same Specification When Comparing Quotes
Two prices are not directly comparable when the quantities, paper, binding, finishing, proofing, tooling, packing or delivery assumptions differ. Keep one written master specification and ask every supplier to state exclusions separately.
