Printing Procurement Document Pack Checklist

Use this checklist to prepare for a printing tender, formal RFQ, RFP or large institutional procurement. Exact requirements differ by buyer and opportunity, so the current issued procurement documents always take priority over a generic checklist.

1. Issued procurement documents

  • Tender/RFQ/RFP notice and reference number
  • Terms of reference / scope of work / specification
  • Official pricing schedule or bill of quantities
  • Mandatory returnable schedules and declarations
  • Briefing/session requirements where applicable
  • Submission method, file format, deadline and validity period
  • Evaluation criteria, functionality/technical criteria and preference requirements where stated

2. Supplier administration documents

  • Company/supplier identification requested by the buyer
  • Current CSD supplier report where required for South African public procurement
  • Tax compliance information where requested
  • B-BBEE affidavit/certificate or other preference evidence where applicable
  • Bank confirmation or supplier banking forms where requested
  • Director/member/contact information where the procurement requires it
  • Signed bidder declarations and conflict-of-interest forms where applicable

The South African Central Supplier Database registration guidance explains that supplier information can include identification, industry classification, contacts, address, tax, directors/members, associations, commodities, notifications and B-BBEE information. Do not assume that CSD registration alone satisfies every tender returnable.

3. Technical printing pack

  • Completed print specification by line item/title/SKU
  • Page counts, sizes, colour, paper/material, binding and finishing
  • Artwork/preflight status and proof/sample plan
  • Production methodology where requested
  • Quality-control checkpoints
  • Version/language controls
  • Packaging, carton labels and pallet requirements
  • Delivery schedule and site/district/campus allocations

4. Commercial and contract pack

  • Completed pricing schedule in the buyer’s required format
  • Clarified inclusions/exclusions
  • Freight/delivery presentation
  • Quote validity and commercial assumptions
  • Payment terms only as formally approved
  • Subcontracting or partner disclosures where required
  • References, samples or prior-project evidence where requested and verifiable

5. Final submission control

  • Use the exact current version of every tender document
  • Check every mandatory field, signature and attachment
  • Confirm file names and portal/email submission method
  • Submit before the official deadline
  • Keep a copy of the final submission and proof of submission
  • Monitor official notices/corrigenda before closing

South Africa’s eTender Opportunities portal publishes currently advertised public-sector tender opportunities and tender documents. Always work from the current official opportunity record rather than a copied or outdated version.
